These Terms of Service ("Terms") govern your use of the AES-CRM platform and services provided by AES-CRM Ltd ("AES-CRM", "we", "us", or "our"). By accessing or using our services, you agree to be bound by these Terms.
AES-CRM is a software-as-a-service (SaaS) platform designed to help UK dental and aesthetic clinics manage patient enquiries, marketing attribution, and appointment workflows.
2. Service Description
AES-CRM provides:
- Patient enquiry management and CRM functionality
- AI-assisted chatbot and communication tools
- Marketing attribution and analytics
- Appointment scheduling and reminder automation
- Integration with third-party services (Google Ads, Stripe, etc.)
3. Important Disclaimers
Not a Medical System
AES-CRM is not a clinical or medical system. It is designed for business operations, marketing, and patient communications — not clinical record-keeping or medical decision-making. AES-CRM does not replace your Practice Management System (PMS).
AI Limitations
AI features within AES-CRM are assistive only, not authoritative. Our AI:
- Does not provide medical or dental advice
- Does not make clinical recommendations
- Does not handle medical emergencies
- Is not a substitute for professional clinical judgment

No Guarantee of Results
While AES-CRM is designed to help clinics improve their marketing ROI and operational efficiency, we do not guarantee specific results. Marketing outcomes depend on many factors outside our control, including ad spend, market conditions, and clinic operations.
4. Your Responsibilities
As a clinic using AES-CRM, you are responsible for:
- Patient communication: Ensuring all communications with patients are appropriate, professional, and compliant with relevant regulations.
- Clinical decisions: All clinical and treatment decisions remain your responsibility. AES-CRM provides business tools, not clinical guidance.
- Advertising compliance: Ensuring your advertising content complies with ASA, GDC, and other relevant advertising standards and regulations.
- Data accuracy: Maintaining accurate patient and business information within the platform.
- User access: Managing who has access to your AES-CRM account and ensuring appropriate access controls.
- Consent management: Obtaining appropriate patient consent for marketing communications and data processing.
5. Account Terms
- You must be 18 years or older to use this service.
- You must provide accurate and complete registration information.
- You are responsible for maintaining the security of your account credentials.
- You must notify us immediately of any unauthorised access to your account.
- One clinic account may not be shared across multiple unrelated clinic entities.
6. Payment Terms
- Subscription fees are billed in advance on a monthly or annual basis.
- All payments are processed securely through Stripe.
- Prices are quoted in GBP and exclude VAT unless stated otherwise.
- We may change pricing with 30 days' notice. Existing subscriptions are honoured until renewal.
- Refunds are provided in accordance with our refund policy. Contact us for details.
- Failure to pay may result in suspension or termination of service.
7. Suspension and Termination
By You
You may cancel your subscription at any time through your account settings. Cancellation takes effect at the end of your current billing period.
By Us
We may suspend or terminate your account if you:
- Breach these Terms
- Fail to pay fees when due
- Use the service for illegal purposes
- Engage in activity that harms other users or our systems
Data After Termination
Upon termination, you may request an export of your data within 30 days. After this period, data will be deleted in accordance with our data retention policies.
8. Limitation of Liability
To the maximum extent permitted by law:
- AES-CRM is provided "as is" without warranties of any kind, express or implied.
- We are not liable for any indirect, incidental, special, consequential, or punitive damages.
- Our total liability is limited to the amount you paid us in the 12 months preceding the claim.
- We are not liable for any losses arising from your use of third-party integrations.
- We are not liable for clinical outcomes, patient harm, or medical decisions made using our platform.
9. Intellectual Property
AES-CRM and its original content, features, and functionality are owned by AES-CRM Ltd and are protected by international copyright, trademark, and other intellectual property laws.
You retain ownership of all data you upload to AES-CRM. You grant us a limited licence to process this data solely to provide the service.
10. Changes to Terms
We may modify these Terms at any time. We will notify you of material changes via email or through the platform at least 30 days before they take effect. Continued use of the service after changes take effect constitutes acceptance of the new Terms.
11. Governing Law
These Terms are governed by the laws of England and Wales. Any disputes arising from these Terms or your use of the service will be subject to the exclusive jurisdiction of the courts of England and Wales.
12. Severability
If any provision of these Terms is found to be unenforceable or invalid, that provision will be limited or eliminated to the minimum extent necessary, and the remaining provisions will remain in full force and effect.
